Digital Desks Coworking ("we", "us") runs this website and the coworking space at 810 Humboldt Street, Suite A02, Victoria, BC. This policy explains what personal information we collect, why, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and BC's Personal Information Protection Act (PIPA).
What we collect
- When you book a tour: your name, email, phone number and chosen time. Bookings are handled by our scheduling provider, vcita.
- When you request a virtual office: the details you enter in the form, such as your name, email, phone, company and website.
- When you become a member: the details we need to invoice you, give you access and forward your mail.
- When you browse the site: pages you visit, how you found us, your general location (city level), device and browser type, collected with cookies and similar technology.
How we use it
- To answer your questions, confirm tours and set up your membership or virtual office.
- To send invoices, building notices and mail notifications.
- To understand how people use the site so we can improve it.
- To show our ads to people who have visited the site, and to measure whether those ads lead to tours and sign-ups.
We do not sell your personal information.
Analytics and advertising
We use these services, which may set cookies and receive information about your visit:
- Google Analytics and Google Ads to measure site traffic and ad results.
- Meta Pixel (Facebook and Instagram) to measure ad results and show our ads to past visitors.
- vcita for tour booking, and Google Maps and YouTube when you view the map or play the video.
You can opt out of personalised ads in your Google ad settings and Meta ad preferences, install the Google Analytics opt-out add-on, or block cookies in your browser. The site still works if you do.
How long we keep it
We keep tour and enquiry details for up to two years, and member records for as long as you are a member plus seven years for tax purposes. Analytics data is kept for up to 14 months.
Where it is stored
Some of our service providers store information outside Canada, including in the United States, where it may be accessible to authorities under local law. We only use providers that protect information to a standard comparable to ours.
Your rights
You can ask to see the personal information we hold about you, correct it, or have it deleted, and you can withdraw consent to marketing at any time. Email info@digitaldesks.ca and we will reply within 30 days. If you are not satisfied, you can contact the Office of the Information and Privacy Commissioner for BC.
